Minimum Requirements
Applicants must meet the following minimum qualifications and experience:
Education

Bachelor’s Degree (NQF Level 7) in:

Project Management, or

Project Administration
-
Experience
-
2–3 years of relevant experience in project management or project administration

Experience in the public sector will be advantageous
Technical Skills

Proficiency in Microsoft Office tools including:

Professional Capabilities

Ability to work within multidisciplinary teams

Strong organisational and coordination skills

Knowledge of public finance legislation, including the Municipal Finance Management Act (MFMA) and Public Finance Management Act (PFMA) frameworks, will be beneficial.
Key Responsibilities
The successful candidate will provide project administration and coordination support to MFIP project managers and technical advisors.
Project Administration and Support
Key duties include:

Assisting with project initiation and documentation
-
Preparing Memorandums of Understanding (MOUs) and maintaining project records
-
Registering projects on the GTAC project register
-
Managing project documentation and filing systems
-
Maintaining project schedules, deliverables, and risk management records
Governance and Compliance
Responsibilities include:

Monitoring project reporting compliance
-
Managing document version control
-
Conducting quality assurance checks on project records
-
Preparing documentation required for audits and reviews
Meeting and Travel Coordination
Administrative support will include:

Organising project meetings and workshops
-
Preparing agendas and distributing meeting documentation
-
Recording and distributing meeting minutes
-
Coordinating domestic and international travel arrangements
Information Management and Reporting
The Assistant Director will also:

Maintain the project tracking system
-
Compile progress reports and performance statistics
-
Provide reporting for project meetings and management reviews
-
Upload project learnings and knowledge to the MFIP knowledge system
Client and Contract Administration
Additional responsibilities include:

Acting as a first-line liaison with client departments
-
Managing technical advisor contracts and related databases

Processing timesheets and invoices for payment
-
Supporting the resolution of contractual matters
