Role Overview

The Personal Assistant will provide administrative and secretarial support to a Senior Manager within the department. The role involves managing communication, coordinating meetings, organizing travel arrangements, and maintaining the smooth daily operation of the office.

This position plays an important role in ensuring efficient workflow and professional handling of departmental communications and documentation.


Key Responsibilities

1. Office Administration

Serve as the first point of contact for the office by answering calls, managing correspondence, and directing inquiries appropriately.

2. Meeting and Documentation Management

Prepare meeting agendas, organize briefing documents, and ensure all electronic records and documentation are properly reviewed and prepared.

3. Diary and Schedule Coordination

Manage the Senior Manager’s calendar, schedule meetings, and ensure appointments are properly prioritized.

4. Travel and Logistics

Arrange travel bookings including flights, accommodation, and transport through approved travel management systems.

5. Stakeholder Communication

Coordinate communication between internal teams, external stakeholders, and senior leadership offices, ensuring timely handling of official correspondence.

6. Administrative and Financial Support

Provide assistance with administrative planning and budgeting processes, including preparing information required for departmental planning.


Minimum Requirements

Applicants must meet the following criteria:

  • Secretarial Diploma or equivalent qualification recognized by SAQA

  • Minimum of 3 years administrative experience, particularly supporting senior management or in office administration roles


Advantageous Qualifications

While not mandatory, the following may strengthen an application:

  • Bachelor’s Degree in Office Practice

  • Secretarial Studies

  • Business Administration
